How to Compare Freight Quotes: Charges, Surcharges and a Practical Checklist
Quick overview
To compare freight quotes, use the same cargo details, route, pickup and delivery points, and requested services for every provider. Then compare the total for the same scope, including stated surcharges and local charges. Check what is excluded, when the rate expires and which shipment changes could alter the price.
Start with the same shipment
A comparison is unreliable if one quote is for port-to-port shipping and the other includes pickup and final delivery. Send each provider the same brief:
- Pickup address or agreed origin terminal.
- Delivery address or agreed destination terminal.
- Cargo-ready date and desired delivery window.
- Commodity, package count, packed dimensions and gross weight.
- Shipping mode and equipment, if known: air, LCL or FCL and container type.
- Handling needs, such as non-stackable cargo, temperature control or dangerous goods.
- Services you want included, such as customs clearance, insurance or final delivery.
Check the agreed Incoterm and named place in the sales contract as well. They help identify which party is responsible for particular transport costs and formalities; they do not tell you that every service appears in a forwarder’s quotation.
Compare each quote item by item

| Possible extras | What could trigger storage, demurrage, detention, remeasurement or special handling charges? |
“Door to door” describes the transport endpoints. Confirm the actual services and charges in the quotation instead of assuming that customs, duties, taxes and insurance are included.

Worked example: the lower base rate costs more
The following figures are hypothetical examples, not current iContainers rates or a quote for a real route. Both offers cover the same 20-foot FCL shipment and the same agreed pickup and delivery points. Amounts are in USD.

Quote A advertises the lower base freight rate, but Quote B has the lower total of stated charges: $120 less. Before choosing B, confirm that “included” covers the same work, that both offers remain valid for the planned shipment date, and that the estimated delivery schedules meet your needs.
In this example, both quotes leave customs clearance, duties, taxes and insurance to be checked separately. No amount has been assumed for them. Unexpected delay charges are also outside the comparison; ask each provider for the applicable conditions and free-time terms.
Check when the price can change
Find the validity date in each quotation and ask whether the price applies to the cargo-ready date, booking date, departure date or another specified point. Confirm how the provider handles changes in:
- Packed dimensions, gross weight or container type.
- Pickup or delivery address.
- Requested services or cargo handling requirements.
- Carrier schedule, routing or available equipment.
- Surcharges or currency conversion.
A rate that has expired is not a reliable comparison with a current offer. Request a revised quotation using the same shipment brief.
A checklist before you choose
- Both quotes use the same cargo information and route.
- Pickup and delivery points match.
- Every required service is marked included, optional or excluded.
- Surcharges and origin and destination charges are accounted for.
- Currency, rate validity and possible revisions are clear.
- The estimated schedule covers the journey you need to plan.
- Customs clearance, duties, taxes and insurance have been assigned or estimated separately where relevant.
- You understand what could generate additional charges.
- The provider has confirmed the final amount and service scope before booking.
